Automated Communications

An industry is growing, the need for over-the-wire communication is increasing and is more and more stated that electronic data interchange should be used to ensure proper document exchange between two companies involved in a business process. One such example is the commercial distribution of goods - or retail distribution. Within such process, there are usualy exchanged documents like orders, sales and stock informations, despatch advice, receipt advice, invoice and payment informations. Such a flow can be seen in the picture below:

Within this process, human intervention is needed only in the processes, the documents should be transferred automatically between the involved parties. This example is only a simple one, in normal operations it is posible to involve logistics platforms and outsourced logistic operators that usualy perform the goods movement.

Theoreticaly, this type of automated processes are characterized by transport, content and format.

The first part involved in electronic document interchange is the transport of the document. It's clear that for sensitive information document a common transport method like the email is not suitable. For this type of transport usualy companies relay of secure networks like X.400 or AS.2 witch are standardized protocols. As a security feature, the documents can be signed so that each party can validate the sender of the document.

The content of the document is usualy stated within industry standard or are agreed within business partners. As a simple example, for goods identification one usualy use the barcode that contain an identification code. The identification code can be universal (given by an global authority) or partner agreed (such codes usualy start with 27 or 28) an have 13 digits.

The format is the more sensitive one, usualy an industry standard (line EANCOM) is used for this. There are companyes that require the use of their own data format (XML, DOC, CSV, TXT etc) but using such format is in more cases expesive for the business partner. Let's consider a partner that works with several (3 or 4) retail chains. if each of the partners have their own format for the documents, his platform needs to be adjusted for each of this partners. Each adjusment has an financial impact as it requires developments and additional workhours for the implementation and mainatainance.
